Terms and Conditions
Insurance
We recommend that all participants obtain a short-term traveler's insurance policy covering baggage, accident/life and workshop/trip cancellation. Trip cancellation insurance reimburses you for nonrefundable air and land costs should you have to cancel the workshop/trip due to personal or family illness. It also covers the cost of emergency evacuation from remote areas.
Medical
Our workshop/trips are not normally rigorous expeditions and are not extremely physically demanding. If such a trip is offered, it will be clearly identified as such. However, Santa Fe Art Voyageur assumes no liability regarding provision of medical care. Members are urged to check their insurance coverage to be sure it is adequate. In general, you must be in good health to participate to one of our tours and seminars; it is vital that persons with medical problems make them known to us well before departure.
The workshop/trip leader has the right to disqualify any member from the group at any time if considered medically necessary or to avoid endangering the group, or if the participant in question is physically unfit for the particular excursion. Refunds are not given under such circumstances. Workshop/trip members should have a personal supply of any special medications which they may need. These medicines should be carried with you at all times. It is understood that Santa Fe Art Voyageur is not a medical facility and therefore has neither expertise nor responsibility regarding what medications or inoculations you and your private physician should decide necessary for your safe participation in the tour.
Airfares
We do not make air arrangements for departures because we feel workshop/trip participants will find lower fares by booking flights directly with the airline or other sources. Santa Fe Art Voyageur is not responsible for the payment of any cancellations or change penalties or the purchase of a new ticket for any reason whatsoever.
Limitation of Liability
These paragraphs (together with the Release of Liability section) define our responsibility with respect to all our workshop/trips. PLEASE READ IT CAREFULLY.
- Payment of your deposit represents your acceptance of the following terms and conditions:
- Santa Fe Art Voyageur gives notice that services provided in connection with its itineraries, including transportation, hotel accommodations, restaurants, and other services, are purchased from various independent suppliers who are not affiliated with Santa Fe Art Voyageur in any way.
- Although we endeavor to choose the best suppliers available, Santa Fe Art Voyageur has no right to control their operations and therefore makes these travel arrangements upon the express condition that Santa Fe Art Voyageurs, and its own agents and employees, shall not be liable for any delay, mishap, inconvenience, expense, irregularity, bodily injury or death to person, or damage to property occasioned through the conduct or default of any company or individual engaged in providing these services. Each of these passenger conveyance companies, tour companies, hotels, restaurants, etc., is subject to the laws of the state or country where the service is provided.
- Santa Fe Art Voyageur shall not be liable for (a) expenses such as additional hotel nights and meals not specified in the individual workshop/trip itineraries, but which may be required to get to or from a workshop/trip start or end; (b) expenses due to the delay of a workshop/trip for any reason (e.g. bad weather, road conditions, landslides, flooding, sickness, or other contingency for which Santa Fe Art Voyageur cannot make provision; (c) expenses incurred in recovering luggage lost by airlines, belongings left behind on a workshop/trip, or in shipping purchases or other good home from abroad; (d) bodily injury or property damage for any reason, including but not limited to acts of God, weather, quarantines, strikes, civil disturbance, theft, default, changes in government regulations, terrorism, war, or failure of conveyance to arrive or depart as scheduled, etc., over which Santa Fe Art Voyageur has no control.
- The right is reserved to substitute both workshop/trip leaders and hotels from those listed in the itineraries, as well as, reverse the order of places to be visited and make reasonable changes in the itinerary where deemed advisable for the comfort and well being of the passengers.
- Santa Fe Art Voyageur reserves the right to take photographic or film records of any of our workshop/trips, and may use any such records for promotional and/or commercial purposes.
- Santa Fe Art Voyageur reserves the right to decline to accept or to restrain from further participation any person it judges to be incapable of meeting the rigors and requirements of participating in the tour activities, or any person whose actions or behavior it judges unsuitable for group travel. A refund based on the cost of any unused land services already paid for is the limit of Santa Fe Art Voyageurs' responsibility in such a case.
Tour/Seminar Participants' Responsibility
Workshop/trip members have the responsibility to select a workshop/trip appropriate to their abilities and interests. Tour/Seminar participants are held responsible for being in sufficient good health to undertake the workshop/trip. Tour/Seminar participants are responsible for preparing for the workshop/trip by studying the itinerary and pre-departure information packets sent by Santa Fe Art Voyageur and for bringing the appropriate clothing and equipment as advised therein.
Reservations
Early reservations are recommended, since group sizes are limited and airlines often sell out of their best fares many months in advance. For immediate confirmation on a workshop/trip, you may call our customer service number and charge the initial $300 deposit to your Visa, MasterCard, or American Express credit card, or use our secure online booking system, or mail the Application Form along with a check. Each participant must submit a separate signed application prior to departure.
Upon receiving your deposit we will send you a confirmation letter, detailed workshop/trip itinerary and general information needed to prepare for your workshop/trip. Rendez-vous instructions, and final workshop/trip details will be sent about 3 weeks prior to departure. If payment installments are not paid when due, Santa Fe Art Voyageur reserves the right to treat the reservation as canceled. Additionally, no one will be allowed to depart on a workshop/trip unless all payments and necessary documents have been received.

*Prices are quoted in US dollars and all payments must be made in US dollars whether by check or credit card.
Pricing
In order to offer the lowest possible price, all of our tours are priced according to a minimum number of full-price passengers on the workshop/trip.
Single Supplements
Accommodations are based on double occupancy. Participants who specifically request single accommodations, subject to availability, pay a single supplement. If you are traveling alone and wish to share accommodations, we will try to match you with a roommate. However, if a roommate is not available, the single supplement will be charged.
Cancellations and Refunds
If it becomes necessary for you to cancel your workshop/trip, the following fees will apply computed as of the date of receipt of written cancellation notice.
Cancellation Fee Schedule**
Minimum Fee: $150 per person non refundable cancellation charge
90-61 days prior to departure: $400 per person cancellation charge
45-60 days prior to departure: 50% of land cost per person
45 days or less: no refund
After departure date: no refund
**Rates are based on group participation and no partial refunds will be given for unused workshop/trip arrangements for any reason whatsoever. We highly recommend that all clients purchase workshop/trip cancellation insurance, available through Native Destinations: 505-466-9996 or herve@nativedestinations.com.
You may transfer to another workshop/trip without penalty by notifying us of your wish to transfer 91 days or more prior to departure. After that time you are subject to the cancellation fees outlined above. This does not apply to workshop/trips with nonrefundable deposits.
Cancelled Tour/Seminars
Santa Fe Art Voyageur reserves the right to cancel any workshop/trip prior to departure for any reason whatsoever, including insufficient sign-up or logistical problems that may impede workshop/trip operations. The refund of all land payments received shall release Santa Fe Art Voyageur from any further liability. A workshop/trip canceled due to insufficient sign-up would normally occur a minimum of one month prior to departure.
Santa Fe Art Voyageur must normally make substantial payments to its suppliers (hotels, transportation companies, etc.) far in advance of the scheduled embarkation date. If a workshop/trip is canceled due to force majeure (acts of God, war, labor strikes, earthquake, flooding, etc.), Santa Fe Art Voyageur will promptly refund the portion of the workshop/trip cost not already advanced to suppliers and use its best efforts to recover and refund the balance as promptly as possible. However, Santa Fe Art Voyageur does not guarantee recovery of any or all of the advance payments made, and our use of best efforts to recover these payments will not include the institution of any legal proceedings in foreign jurisdictions.
Santa Fe Art Voyageur is not responsible for expenses incurred by workshop/trip members in preparing for a canceled workshop/trip (e.g., nonrefundable advance purchase air tickets, visa fees, inoculations, equipment, etc.) or for any additional arrangements should the workshop/trip member have embarked prior to the scheduled group departure date.
Application Form
Please be sure to complete and submit our Tour Registration Form. A completed paper copy of the registration form or a completed online registration, both indicating agreement with the above terms and conditions, is required for each workshop/trip participant before departure.
